Effective immediately, we will be implementing the following policies in an effort to reduce the number of no-shows and late cancellations, and to ensure that our therapists are paid for their valuable time:
All appointments scheduled online thru MassageBook for NEW clients will require prepayment. This prepayment is fully refundable if the appointment is cancelled with at least 24-hour notice.
Existing clients will not need to prepay when scheduling, but Cincy BodyWork will require you to keep an active credit card on file with us in order to confirm your appointment. We will only charge your credit card on file in the case of missed or cancelled appointments without 24-hour notice, and we will always notify you via text or email before we charge your card.
FAQ's About Keeping a Credit Card On File
Is my card safe? Yes. All credit card information is stored with Square credit card processing system, which is secured and encrypted. Staff members at Cincy BodyWork can only see the last four digits of the card number. We will NOT share or transfer your personal information.
How Do I Give You My Credit/Debit Card Info? During your next visit to our office, we will have you read and sign our Card on File agreement and will then add your card to our secure system.
Do I Need to Sign the Credit Card on File Agreement? Yes. Your signature ensures understanding of our cancellation and card on file policies.
Can I still pay with cash/check? Yes. The card is only on file to reserve your appointment time, or to cover late/no show fees. As always, you have the option of paying with cash, check, Venmo, a different credit card, or the card on file.
What if I Have a Package of Prepaid Sessions? You can simply continue to use your prepaid sessions, and we will store your credit card on file when it is time for you to purchase a new package.
But I Always Show Up For My Appointments, Why Do I Need A Card On File? It is true that the majority of our clients are very respectful of our therapists’ time and courteous about cancellations, and we appreciate that! Unfortunately, it has become necessary to enforce a consistent policy to ensure we can pay our therapists for the time they have set aside for each client.
How Will I Know How Much You Are Going to Charge Me? In the case of a no-show or late cancellation we will always notify you via text or email what the charge amount will be.
My Health Plan Has a Health Savings Account (HSA) Card. Can I Keep My HSA Card On-File? Yes, you can keep your HSA card on file, however, we may require an additional card to be kept on file should the funds in your HSA account become insufficient.
